Artificial intelligence (AI) tools and services
Ontario Tech University is committed to the responsible, secure and ethical use of artificial intelligence (AI). Information Technology (IT) Services supports approved AI tools and platforms that have been reviewed through university processes to help protect institutional and personal information.
The university provides access to approved AI tools and services that support productivity, communication, learning, research and administrative work. Approved AI tools have undergone appropriate privacy, security, procurement and risk review processes. Features, licensing and availability may vary by tool and user group.
Note: Employees should use only approved, university-supported AI tools for university work.

How do I use AI tools safely?
When using approved AI tools:
- Sign in using your Ontario Tech account and ensure enterprise data protection applies to your chat.
- In Microsoft 365, look for this symbol in the top-right corner of the Copilot chat screen.
- In Gemini, look for the word “Edu” under your name in the bottom-left corner.
- Follow university privacy, security, data handling and information management requirements.
- Review and validate AI-generated content before using, sharing or publishing it.
- Do not use personal or consumer AI accounts for university business involving personal, confidential or sensitive information.
- Sign in using your Ontario Tech account and ensure enterprise data protection applies to your chat.

What if a tool I want to use isn't available?
If the AI tool you want to use is not currently approved or supported, it must be reviewed before it can be used for university business.
To request a review of a new AI tool, contact IT Services at itservices@ontariotechu.ca or Access and Privacy at accessandprivacy@ontariotechu.ca.

Are there privacy and responsible use requirements I need to follow?
The Privacy Office conducts Privacy Impact Assessments (PIAs) and Artificial Intelligence System Assessments to help ensure AI technologies are implemented responsibly and in accordance with applicable privacy and compliance requirements.
